How Your Customer Knows the Booking Worked

After someone books, two different things can tell them it worked. They come from different places and behave differently, so it is worth knowing which is which.

1. The form’s confirmation and email

This part is Gravity Forms, not DrezSync. Every Gravity Form has it, booking or not.

  • Confirmation: what the page shows straight after they submit. Set it under Form Settings, then Confirmations.
  • Notification: the email that goes out. Set it under Form Settings, then Notifications.

Gravity Forms sends notification emails using your website’s own email. If your site does not send mail reliably, these can land in spam or not arrive at all. That is a WordPress hosting matter rather than a DrezSync one, and an SMTP plugin is the usual fix.

You can include the booking itself in the email. The booking field works as a merge tag and prints a readable date, for example July 15, 2026 at 9:00 AM, rather than a raw value. See The Event Title Shows a Raw Date if it prints something unfriendly.

2. The Google Calendar invite (Pro)

With Invite the customer set to Yes, DrezSync adds the person who booked as a guest on the calendar event, using the first Email field on the form. Google then sends them a real calendar invite, so the appointment lands in their own calendar with a reminder attached.

This one comes from Google, not from your website, so your site’s email setup has no bearing on it. You do not need SMTP for it to work. If it does not arrive, see The Customer Did Not Receive a Calendar Invite.

Use both if you can

They do different jobs. The form notification is your message: what to bring, where to park, your cancellation policy. The calendar invite is what actually gets the person to turn up, because it sits in their calendar and reminds them.

On the free version, the form notification is your confirmation, and it does the job well. The calendar invite is a Pro feature.

Getting your details onto the invite

Everything the customer fills in on the form is written into the calendar event’s description, so it travels with the invite. That is also how you attach standing details like an entry code. See Adding Policy Text or Extra Details to the Event and Invite.
