DrezSync has no cancel button, and no customer-facing cancellation. Bookings are cancelled and moved by you, in Google Calendar. This article explains how, and warns you about the one mistake that quietly costs you a time slot.
A booking lives in two places
Understanding this makes everything else obvious:
- The calendar event, on your Google Calendar. This is what controls availability. It is the reason that time no longer appears on your form.
- The Gravity Forms entry, under Forms then Entries. This is your record of who booked and what they told you. It controls nothing.
DrezSync writes the event once, when the form is submitted. After that it never looks at the entry again. The calendar is the only thing it reads.
To cancel a booking
Delete the event in Google Calendar. That is it. The time reopens on your form within about a minute, because availability is read live from your calendar. See Does Deleting an Event in Google Free the Slot?.
To reschedule a booking
Drag the event to the new time in Google Calendar, or edit its time. The old slot reopens and the new one closes, automatically. There is nothing to update on the WordPress side.
If the customer received a calendar invite, Google notifies them of the change by itself. If they only got a form notification email, they hear nothing, so tell them yourself. See How Your Customer Knows the Booking Worked.
The mistake to avoid
Deleting the Gravity Forms entry does not cancel the booking.
It removes your record of who booked, while leaving the calendar event exactly where it is. So the time stays blocked on your form, you no longer have the customer’s details, and nothing on your site explains why that slot is unavailable.
If you want a booking gone completely, delete the calendar event first, then the entry if you want it gone too. The event is the part that matters.
Can customers cancel their own booking?
Not through DrezSync. There is no self-service cancellation or reschedule link. If you need that, handle it the way you would any other form: give people a way to contact you, and cancel it on the calendar yourself.
A note on no-shows
Leave the event where it is if you want the history, or delete it to reopen the time. Either is fine. DrezSync does not track attendance, so this is purely about whether you want that slot bookable again.
